1. There are two main areas to access chat features within a maintenance request. First up is the:
βProject-Level Chat (Chat Tab)
Click on the chat tab as shown.
2. These chats are focused on project-wide communication. Click on Internal chat to view.
Use this area to:
Share general updates
Confirm availability (e.g. dates/times when the contractor will attend)
Discuss materials or specifications required by the council.
3. You can add attachments or input chat messages directly here.
4. The second area is Work Item-Level Chat
Found under each individual work item within the maintenance request. Unread messages in this area are indicated by a red badge showing the number of unread messages on that item.
5. Use this for task-specific communication, such as:
Uploading images of completed works
Asking questions related to that specific item
6. At the top-right of the system interface, you'll see a message icon in the main navigation bar.
Clicking this icon opens a list of all chats you're involved in, across the system.
7. - Chats linked to the overall maintenance request/project appear in black. Clicking on a chat will take you directly to it.
8. Chats linked to specific work items appear in orange.
9. - The message count is displayed on the right:
A blue number indicates unread messages
A black number indicates messages already read
Best Practices
Use project-level chat for general planning and coordination.
Use work item-level chat for documenting work, uploading images, and handling specific tasks.
Regularly check the message icon to stay up-to-date on any chat activity.
